Hamble Point Sailing School is the RYA Training division of Hamble Point Yacht Charters, one of the leading yacht charter companies in the UK’s premier sailing area, The Solent.
We put the customer at the heart of our operations, and we take protecting your data as seriously as we take providing high-quality sailing tuition.
When you provide us with your data, we will use it to provide you with the service(s) about which you have enquired or booked. We will use your data in a responsible and legitimate way and in a manner which you would reasonably expect.
We will take reasonable steps to secure your data and will not provide your details to other organisations unless we are compelled by law to do so. You can ask us for details of the information we hold, and you may request we make changes to incorrect or out-of-date information. You can also unsubscribe to any of our marketing emails at any time.
How we collect your data
Visitors to our Website
When someone visits www.yacht-school.co.uk a third party service, Google Analytics, uses a cookie to collect information about visitor behaviour. This helps us to understand how our website is being used and can help us identify which parts may need improving. We do not make, nor allow Google Analytics to make, any attempt to identify individuals from this information.
Email Or Website Enquiries
If you send us an email or submit an enquiry form through our website, you will be providing your personal contact details. We will store these details on our secure server and use them to keep you updated about the service or course you requested, contact you to obtain additional information ahead of a course and to identify previous purchases in order to determine eligibility for any customer discount.
We cannot guarantee the security of data transmitted over the internet and you accept this when you submit your enquiry.
Once you decide to enrol on a course with Hamble Point Sailing School you will be required to complete a booking form which collects additional information about you, relevant to the course you are enrolling on. A paper copy will be kept in a locked filing cabinet in our office and details will also be added to your file held on our secure server.
What Data Do We Need and How is it Used
For Your Wellbeing
Prior to enrolling you on a sailing course, Hamble Point Sailing School has a responsibility to help students judge if the course is suitable for them.
We will ask you about your sailing experience, qualifications, your fitness levels, any dietary requirements, medical issues or disabilities which may affect your ability to participate. Before the course starts we are also obliged to obtain details of an emergency contact for you.
This information is used only for the purpose of determining your suitability to take part, enabling reasonable modifications to the course to adapt to any special requirement and dealing with any incidents which may arise.
Relevant conditions will be shared with our course instructors / skippers in order for them to know how to handle any potential situations which may arise whilst you are sailing when medical back up may not be easily accessible.
We will keep any medical details and Emergency Contact details on your file indefinitely so that repeat students do not need to resupply the same information. In accordance with your rights, you can ask to see what information we hold on you and ask us to amend, update or delete your medical notes at any time.
For RYA Certifications
On successful completion of an RYA course which results in a certificate being awarded, your name, contact details, date of birth, certificate number and date of issue will be shared with the RYA though a secure web portal at www.rya.org.uk. This data will be stored on the RYA’s central database. This allows the RYA to record your qualification, to update any records they hold, and to verify or replace your certificate if required. The RYA requires us to keep SRC exam papers for a period of 5 years.
Where a certificate is not registered online, Hamble Point Sailing School will retain your data and store it indefinitely. This allows us to verify and replace your certificate if required. You may request us to delete your data sooner, however, there would be no way to verify or issue a replacement certificate in future.
For RYA Online Courses
To enable access to your online course we need to share some of your personal data with the RYA via your user profile in www.ryainteractive.org. This learning management website is hosted and maintained by a third party called Learning Pool, who will not use your data for any reason other than enabling your course.
Your name and email address will be entered on www.ryainteractive.org in order to create your user account. On first access to the site you will be asked to enter your address and date of birth. You will have access to the site for one year in order to complete your online course. During this period, your personal information will be held on the website by Learning Pool and will be available to the RYA and this training centre for the purpose of managing your course.
Instructional support will be available from Hamble Point Sailing School for [1 year] from the date of your course booking.
On completion of your course, your name, email, DoB and address will be transferred to the RYA’s central database for the purpose of recording details of the course and any certification you gain as a result of it. This allows the RYA to record your certification, to update any records they may already hold about you or your qualification and to verify you certificate if required.
After 1 year from the date of enrolment, your user account will be removed from www.ryainteractive.org. Full details of how the RYA will deal with your personal information will be displayed when you first access the online learning site and throughout this time your data will be held in accordance with RYA Interactive’s Data Policy.
For Our Course Delivery Partners
Some of our courses are delivered on our behalf by our delivery partners. If you book onto a course delivered by a delivery partner (such as our online navigation course delivered by NavAtHome or shorebased courses delivered by BOSS) then we will pass on your name and contact details to the delivery partner in order for them to complete their course registration / contact you directly.
For International Data Transfer
International data transfers are protected through the use of Standard Contractual Clauses
We will ask you if you would like to receive our occasional email newsletter. If you agree, you will be added to our mailing list. We use a 3rd party data processor, MailChimp, to send our newsletter.
You have the right to change your mind and can withdraw consent at any time by clicking on the unsubscribe link within each newsletter, or by contacting us on 02380 457110 or [email protected]cht-charter.co.uk to request removal. Customers will still receive emails regarding their charter(s) and account.
We may send an annual postal mailing to include course lists to the address you have provided. We may provide your name and address to a 3rd party mailing house to fulfil this mailing for us. If you would prefer not to receive this postal mailing, please let us know by contacting us on 02380 457110 or [email protected].
We will not pass or sell your data to anyone for their marketing, market research or commercial purposes.
